WORSHIP SET PLANNING WORKSHEET
The Worship Set Planning Worksheet is a simple, printable tool that helps worship leaders map a full set from the opening song to the final transition, all on one page. It follows a five-part arc: Gather, Engage, Encounter, Respond, Send. For each song there’s space for the title, artist or source, key, BPM, arc moment, transition notes, and tech cues. At the top of the page you record the service date, series or theme, sermon text, worship leader, and set length, so the set stays tied to what’s happening in the rest of the service.
Below the song grid, two side-by-side sections keep the platform and the booth on the same page. Leader Prep Notes cover pastoral moments and scripture references, the key lyric or theme to emphasize, where you’ve planned space for spontaneity, and anything to be sensitive to that week. Tech Team Notes cover the opening lighting look, video and lyric cues, soft instrumental moments, key changes, and the post-set transition cue. A Team Roster page lists everyone serving across band, vocals, and production, from FOH audio and lyrics to livestream.
Think of the worksheet as a framework, not a rigid template. It gives your team a consistent way to plan while leaving room to adjust for your church, your people, and the Spirit’s leading in the room.
Build a set with intention. Use a clear arc so each song has a purpose, instead of lining up favorites and hoping they flow.
Get your whole team aligned. Print it and hand it out so vocalists, musicians, and tech all know the plan, the transitions, and the cues before rehearsal.
Plan for spontaneity. Decide ahead of time where there’s room to linger, respond, or go off-script, so those moments feel led, not chaotic.
